Re: Letter of recommendation for Maya Santos
To Whom It May Concern,
I managed Maya Santos for three years at Brightfield Logistics, and I am glad to recommend her for the Senior Operations Analyst role she is applying for. By the end, she was the person our dispatchers, warehouse leads and customer service team all went to when the numbers looked wrong.
Last spring Maya rebuilt our weekly shipment-tracking report so the warehouse could see delays the same morning instead of on Friday, and she automated our Excel reporting with Power Query, cutting it from about six hours a week to four. She also organized the Monday stand-ups between dispatch and the distribution centre, and customer service got fewer repeat questions about late orders.
Maya is careful with numbers, direct about problems and generous with credit. I would hire her again tomorrow, and I am happy to answer any questions.
Sincerely,
Daniel Reyes

Say what kind of letter it is

Pick the type and the country, then tell us who you are and how you know the person. That sets the tone, the spelling and the sign-off.

    2

    Describe what you've seen

A few strengths and, if you can, one real moment. A project, a result, a bad week handled well. That's the difference between "reliable" and "I'd hire them again".

    Six letters, six jobs

A reference for a warehouse supervisor isn't a PhD letter

An employment reference should be about results. A character letter shouldn't pretend to know anyone's spreadsheets. Here is what each type is for, and where letters tend to go wrong.

TypeUsually written byWhat it should coverEasy to get wrong
Employment referenceA manager or supervisorThe role, main responsibilities, results, reliability and how the person worked with others.Vague praise ("great employee") with no example or timeframe.
Academic recommendationA professor, teacher or advisorThe course or research, quality of thinking and writing, curiosity and independence.Repeating grades the reader can already see.
Character referenceA mentor, coach, community leader or family friendIntegrity, reliability, kindness, and specific moments that show them.Claiming workplace skills you haven't actually seen.
Professional recommendationA colleague, client or business partnerExpertise, collaboration, leadership and how they handle pressure.Writing as if you managed them when you didn't.
Graduate school recommendationA professor or research supervisorReadiness for advanced study: analysis, writing, independence and resilience.Generic superlatives that every other letter uses too.
Immigration support letterSomeone who knows the person wellHow you know them, for how long, their character and their place in the community.Legal claims or comments on status. Check the authority's own requirements first.

If the recipient gives exact instructions (a form, a word limit, a portal), follow those over anything here.

A reference in Toronto isn't a reference in Manchester

Same person, same strengths, different expectations. US letters tend to be warm and specific. British and Australian referees are usually more measured and factual. Readers elsewhere in Europe expect precision. The generator handles the details below.

    What good looks like

"Great employee, highly recommended" helps nobody

Admissions officers and hiring managers read dozens of these. A letter that calls someone "hard-working and dedicated" tells them nothing they couldn't guess. What they remember is a moment: something the person did, and what came of it. So the generator is told to build every quality on an example you gave it.

    What most letters say
"I have known Maya for three years. She is a hard-working and dedicated employee and a real team player. I highly recommend her."

Probably true. Also interchangeable with a thousand other letters.

    What this generator aims for
"I watched Maya rebuild our weekly shipment-tracking report so the warehouse could see delays the same morning instead of on Friday. Then she stayed until people actually used it."

One real moment says more than three adjectives. (Illustrative example with fictional details.)

    Only your facts

The AI is told to use only what you give it: no invented dates, rankings, awards or numbers. You still read every line before you sign; AI can slip.

    Credible, not gushing

A pile of superlatives makes readers doubt the rest. The letter check flags big praise that has nothing behind it, so you can trade it for a detail.

    Yours to edit and sign

A recommendation is a statement in your name. Change a word, cut a sentence, add what only you know. Downloads use your edited version.

    If you're the one asking

Need a letter, not writing one? Make it easy to say yes

Most referees are glad to help and awful at starting. (Awkward, right?) One good email fixes half of that.

    What to send your referee

    • A current resume, so they remember the details. Build one in your country's format.
    • The job or program description, plus the deadline.
    • Three or four things you'd love them to mention, each with one real example.
    • How the letter has to arrive: by email, by upload, or through a portal link that goes straight to them.
    • At least two to three weeks' notice. People say yes faster when it isn't an emergency.

Where AI fits, and where it doesn't

It's common for the candidate to hand over talking points, and plenty of referees ask for a rough draft to react to. That's fine. What isn't fine is a letter the signer hasn't read or doesn't believe: the signature is a promise that every line is true.

So the referee should read it, edit it and sign it themselves. Some schools and employers have rules about who writes what, and we can't know yours, so check before you submit.

    Why not a template?

A template fills in blanks. This writes the letter.

Templates are fine if you enjoy rewriting every sentence. If you'd rather react to a real draft, here is the difference.

AdaptIT Pro's Recommendation Letter Generator is a free online tool that writes a recommendation letter from the type of letter, the country, how the recommender knows the candidate, and the strengths and examples the recommender provides. It applies the spelling, date format, greeting and sign-off typical of Canada, the USA, the UK, Australia or the EU, lets you edit the result on the page, and exports it as a text-based PDF, a Word (.docx) file or plain text. Writing and editing need no account; downloading the PDF or Word file needs a free AdaptIT account. The letter itself is not stored by AdaptIT, and the recommender's email address and phone number are not sent to the AI.

    FAQ

Questions people ask before they trust a recommendation letter generator

Is this recommendation letter generator really free?
Yes. Writing and editing your letter costs nothing, and downloading it only needs a free account: no credit card, no watermark. To keep a free tool online we do apply a fair-use limit per visitor each hour and each day; if you hit it, come back a little later.
Do I need to create an account?
Not to write or edit: the generator works straight away. To download the PDF or Word file you create a free AdaptIT account (email or Google), which takes about a minute. It is the same account you use for our country CV builders and the cover letter builder, and your letter is kept in your browser so it is still here when you come back. Copying the text is always free.
Who is this for: the person writing the letter or the person asking for it?
Both, with one rule. If you are the recommender, it turns your notes into a polished first draft. If you are the candidate, you can use it to prepare a draft or talking points for your referee. Either way, the recommender should read every line, change anything that is not true or does not sound like them, and sign it themselves, because the signature is what makes it their statement.
Is it okay to use AI to write a recommendation letter?
Often yes, but it depends on who is reading. Many referees already start from a template or a draft, and an AI draft built from your own notes works the same way. Some schools, programs and employers have rules about authenticity, though, and a few ask recommenders to confirm the letter is their own. Check the instructions, and edit until the letter says only what you know and would stand behind.
How does the AI recommendation letter generator work?
You choose the type of letter and the country, say who you are and how you know the person, and describe their strengths and, ideally, a moment that shows them. The AI drafts the body of the letter from only that information. The app then adds the date, greeting, subject line and sign-off in the style of the country you picked. After that the letter is yours to edit on the page.
Will the AI make up facts about the person I am recommending?
It is told to use only what you provide and never to add employers, dates, grades, rankings, awards or numbers. AI can still get things wrong or stretch a detail, so read the letter line by line. The built-in letter check also flags missing examples, unsupported praise and leftover placeholders.
How long should a recommendation letter be?
Most are one page, roughly 300 to 450 words. Academic and graduate school letters can run a little longer, and a short note for an online form may need only 150 to 200 words. The generator has a standard and a short length, and you should always follow any word limit the recipient gives.
What should a recommendation letter include?
Who you are and how you know the person, for how long and in what capacity; two or three strengths, each backed by a specific example; a clear statement that you recommend them, and for what; and an offer to answer questions, with your contact details in the letterhead. Praise that comes with a real moment lands harder than adjectives.
Are recommendation letters different in Canada, the US, the UK, Australia and Europe?
In the details, yes. Spelling (organization vs organisation), the date format (October 30, 2026 vs 30 October 2026) and the sign-off ("Sincerely" in North America, "Yours sincerely" or "Yours faithfully" elsewhere) all change. US letters tend to be warmer and more enthusiastic, while UK and Australian references are usually more measured and factual, and often written as a "reference". These are typical conventions, not laws, so a form or posting that says otherwise wins.
Can I use it for an immigration support letter?
It can help you draft a personal letter of support: how you know the person, for how long, their character and their place in the community. It will not make legal claims or mention anyone's immigration status, and it cannot tell you what an authority requires. Immigration bodies often have their own rules for supporting letters, so check them, and consider having the person's lawyer or advisor read the letter before it is submitted.
Should I send a PDF or a Word file?
A PDF is the safe choice for sending: it looks the same everywhere, and the one this tool makes has real, selectable text. Pick Word if you want to paste the letter onto your organization's letterhead or keep editing it. Many universities and employers ask the recommender to submit the letter directly through a portal or by email, so check how yours should arrive, and add your signature if they ask for one.
Is my information stored or private?
AdaptIT does not save the text you type or the letter you generate. If you create an account, we store your account details (name and email), not your letters. To write the letter, your notes and the candidate's name are sent to Google's Gemini AI service; your email address and phone number are not. Only include what the candidate would be comfortable having shared, and never enter ID, passport, health or bank details.

Their next chapter might ride on 400 words. Make them count.
